1. Scope
This Policy applies to personal data processed through the TRIMS website, accounts, authentication flows, and repair-center workspaces. It applies to the TRIMS service itself; a repair center may have its own privacy notice for information it collects from its customers, employees, suppliers, or other people.
2. TRIMS and repair-center responsibilities
Repair centers use TRIMS to run their own business workflows. For information a repair center enters about its customers, devices, employees, suppliers, or transactions, that repair center decides the business purpose for collecting and using the information. TRIMS provides the software used to process that information.
Legal labels such as controller, business, processor, service provider, or similar terms depend on the applicable law and any contractual arrangement. Nothing in this Policy changes those roles where the law defines them differently.
3. Information processed through TRIMS
The categories of information processed depend on how TRIMS is used and which features are enabled.
- Account information, such as name, email address, optional phone information, language preferences, and account settings.
- Organization and repair-center information, such as center details, locations, working settings, roles, permissions, and membership information.
- Operational information entered by authorized users, which may include customer details, device information, repair orders, inventory, supplier records, employee-related information, accounting-related records, and internal communications.
- Authentication and session information needed to sign users in, maintain authenticated sessions, authorize protected requests, and protect account access.
- Support information that you choose to provide when requesting help or reporting a problem.
4. Why information is processed
- To create and manage accounts and repair-center workspaces.
- To authenticate users, maintain sessions, and enforce roles and permissions.
- To provide the operational features requested by users and their organizations.
- To maintain security, detect misuse, investigate incidents, and protect the integrity of the service.
- To provide support, troubleshoot problems, and communicate about service-related matters.
- To maintain, understand, and improve TRIMS using information that is aggregated or anonymized where appropriate and where permitted by applicable requirements.
- To comply with legal obligations and respond to lawful requests where required.
5. Sessions, cookies, and similar technologies
TRIMS uses essential authentication and session technologies to keep users signed in, recognize an authenticated session, authorize protected requests, and help secure accounts. These technologies are necessary for core account and security functionality.
If TRIMS introduces non-essential analytics, advertising, or similar tracking technologies, additional notice or choices will be provided where required by applicable law.
7. International processing and transfers
TRIMS is intended to support users in multiple countries, including Europe, the United States, North Africa, and Arab countries. Depending on the deployment and service providers used, personal data may be processed in a country different from the country where it was collected.
Where applicable law requires safeguards for an international transfer, the required safeguards or transfer mechanism will be used before making that transfer in the circumstances covered by that law.
8. Data retention
Personal data is retained for as long as reasonably needed to provide the service, maintain security and business records, resolve disputes, enforce agreements, and meet applicable legal obligations. The appropriate period depends on the type of data, the organization using TRIMS, the purpose for which it is processed, and legal requirements.
Deletion of an account or organization does not necessarily mean every record can be erased immediately where retention is required or permitted for security, legal, backup, dispute-resolution, or other legitimate purposes. Data should not be kept longer than necessary for those purposes.
9. Security
TRIMS uses technical and organizational controls intended to protect accounts and operational data, including authentication, role- and permission-based access, and separation between organization workspaces. No security measure can guarantee absolute protection, so users must also protect their credentials and devices.
10. Privacy rights
Depending on where you live and which law applies, you may have rights concerning your personal data. These may include rights to request access, correction, deletion, restriction, objection, portability, withdrawal of consent where processing is based on consent, or review of certain decisions. You may also have the right to complain to a competent privacy or data-protection authority.
Rights are not identical in every jurisdiction and may be subject to legal conditions or exceptions. When your request concerns data controlled by a repair center, TRIMS may need to direct or coordinate the request with that organization.
11. Children
TRIMS is a business operations service for repair centers and their authorized workforce. It is not designed as a consumer service directed to children. Organizations using TRIMS are responsible for ensuring that any personal data they enter about a minor is collected and processed lawfully.
12. Changes to this Policy
This Policy may be updated when TRIMS, its processing activities, service providers, or applicable requirements change. The revision date at the top of the Policy will be updated. Additional notice will be provided where required for a material change.
13. Privacy questions and requests
For privacy questions or requests concerning TRIMS, use the support or contact channel made available through the service. If the request concerns data entered and controlled by a repair center, you may also contact that repair center or its administrator directly.
